  • Coordinate and maintain the internal flow and review of all proposal inputs and outputs
  • Manage, train, mentor, and evaluate the performance of the Proposal team Coordinators
  • Facilitate proposal planning meetings, review RFQ/RFP documentation, develop written copy and project manage various areas of proposal content
  • Lead and manage your own assigned proposal pursuits through the full proposal cycle
  • Continuously find ways to improve the proposal creation process, review existing proposal systems, and standards to ensure high quality and consistent outputs from the entire Proposal Team
  • Help maintain corporate sales databases and processes, such as Pursuits Tracker application, Pursuit Tools & Gate Processes
  • Create and maintain purpose-driven written copy that is clear and emotionally engaging for our proposals, sales tools, and collateral
  • Ensure the company’s written copy conveys a unified voice, follows established standards, and projects our brand identity. Working with the team to maintain an up-to-date and accurate project library of information for use in future proposal submissions
  • Ensure cold eye reviews are performed on all submissions and cross-reference with the RFQ/RFP client requirements to ensure compliance
  • Confirm appropriate resources are in place to complete the flow of proposal needs and report the status of resources to Vice President, Project Development
  • Provide proposal status updates and report to our Executive and Senior Leadership teams
  • Attend weekly PD Meetings to report on any current or upcoming major pursuits, Go/No-Go discussions, and the resources available to the entire Proposal Team
  • Develop and maintain relationships with marketing counterparts from clients, potential clients, architects, and engineering firms
  • Positively represent the company in all internal and external interactions and enhance the organization’s image
  • A Bachelor’s degree or diploma in business development, marketing, communications, design, or related field is preferred
  • 10+ years’ experience in a related field, preferably gained from working in the Architectural, Engineering, and Construction (AEC) industry, Professional Services, or a broader B2B background specifically working on proposal creation and strategy development
  • Proven experience leading complex pursuits and developing strategic win themes and messaging
  • Proven ability to effectively manage, supervise, elevate skill sets, and motivate 3-8 team members
  • Thoughtful leader, confident decision-maker, and meticulous attention to detail
  • Ability to prioritize, self-schedule, and operate under tight and competing deadlines while working with colleagues from various departments, business units, market sectors, and locations
  • Demonstrates initiative, a positive attitude, and a willingness to learn and adapt
  • High level of proficiency with Microsoft Office 365 software (Word, Excel, PowerPoint, Outlook, Teams), and Adobe Creative Cloud software (InDesign, Illustrator, and Photoshop)
  • Superior attention to detail, highly organized, and an ability to work as part of a team and resourcefully with minimal supervision
